How it works
Most owners expect a project that takes over their year. This is the opposite. It starts with one thing we take care of free. If you go further, your part is a conversation, a signature, and a few decisions a week.
Tell us the one thingStep by step
Tell us the task you would hand off first: calls nobody returns, invoices that go out late, reminders, review requests. Before we touch any records, you sign a data handling agreement. It is not a contract, it costs nothing and it commits you to nothing.
We set the one thing up in the one program it touches and watch it closely for 30 days. After 30 days it keeps running in your own software, at no charge, whether or not you go further.
Your partTell us what it is.
When you want the full picture, we talk through how your business runs. Then we read your own records in every program you use and write up what they show: where the time and money go, what to fix first, what to leave alone, and every cost.
You get it in writing and we go through it together. It is yours to keep whatever you decide.
Your partOne conversation.
If you want us to do the work, you sign our month to month service agreement. We set up our own login on each program you use, so you can always see what we can reach and remove it.
If your current software cannot do the job, the analysis will have said so. We handle the move and check every record against the original before the old software is switched off.
Your partOne signature and about an hour.
Every tool you own was a sensible choice on the day you bought it. None of them were built to work together, so over the years you ended up copying things from one to another by hand.
We fix that before anything else. Records are cleaned up, tools are connected where they can be, and work that depends on someone remembering is written down and handled.
Putting new tools on top of a mess makes the mess run faster. So we fix the basics first.
Your partNothing.
We work through the three things to fix from your analysis. We watch your software, fix what breaks, and keep improving the numbers we agreed on. When a new tool comes along that is worth using in your business, we tell you, and we set it up.
Your partNothing, unless you want to watch.
One page. The decisions we need from you come first. Then what happened last week, what we changed, and where your main numbers stand.

If you are in Santa Cruz County we will sit down with you. Anywhere else, we meet by video.

Every three months we measure the same numbers again and put them beside where you started. Each one gets a plain reading: working, watch, or adjust.
"Adjust" is the important one. It means something we tried is not producing the result, and it tells you what changes next.
| Main number | Start | 3 months | 6 months | Reading |
|---|---|---|---|---|
| Days from site visit to estimate | 9 | 4 | 3 | Working |
| Field hours that were billed | 66% | 70% | Watch | |
| Your hours a week on office work | 22 | 17 | 19 | Adjust |

Off your plate
If your software stays, your staff keep the screens they know. If it changes, we move your records and show your staff the new screens before the old software is switched off.
