Today
A practice on software chosen from its own records.
Tao Performance Acupuncture is a practice in Santa Cruz that bills insurance. Its old software could not do what the practice needed, and nobody had measured what a change would cost or gain.
Today the practice runs on software chosen after every realistic option was compared, including staying put. The move was tested before the old software was switched off.

How the work went
The same six steps we follow with every business.
- 1Analyze
We read seven years of the practice's appointment records before recommending anything.
- 2Plan
We compared three software options against changing nothing, with every cost of each. The plan said what to move first and what to leave alone.
- 3Approve
The owner chose one. He then approved each piece before it was used: the new patient form, the consent wording and the fee agreement.
- 4Build
We set the new software up around how the practice works: the week's hours and services, the chart note templates, the new patient form with insurance details and consents, and the insurers the practice bills. His patient list was moved across.
- 5Go live
The practice moved to the new software after a full test, from booking to payment, ran cleanly. The billing service he already trusted kept the claims and now works inside the new software, so claims stayed with people who know his insurers.
Live - 6Improve
Billing codes now pass from the signed chart note onto the claim, and a patient's insurance can be checked when the visit is booked. Each week the owner gets one page showing where every claim stands.
Still improving
What changed for the owner
He treats patients. The claims are followed for him.
He reads one page a week and knows where every claim stands.
